Information we collect

We collect only what we need to answer your enquiry and to plan, book and run your tour.

• When you contact us or request a quote (through the site, WhatsApp or email): your name, your contact details, and the trip details you choose to share — such as group size, preferred dates, hotel category and interests.
• When you register for a booked tour: the details needed to book your travel and care for you — your full name and name-tag nickname, date of birth, citizenship, home city/region and postal code, email and mobile number, passport details (number, place of issue, issue and expiry dates) and a copy of your passport, your emergency contact, any medical conditions or physical limitations you tell us, your roommate and room preferences, and how your deposit was paid.

Sensitive information

Some registration details — your passport number and passport image, date of birth, and any medical or physical information — are sensitive. We collect them only to book your flights and hotels, meet airline and border requirements, and look after you during the tour. Providing this information is your choice, though airlines and authorities require some of it in order to travel.

How we use your information

We use your information to respond to enquiries; prepare quotes and itineraries; register you with the airlines, hotels and local providers on your tour; arrange transport, rooming and site entrance; keep in touch with you before and during the tour; handle deposits, payments and paperwork; and meet legal and border requirements.

We do not sell your information, and we do not use it for advertising.

When we share information

We share your information only as needed to arrange and run your specific tour:

• with the airlines, hotels, ground operators and transport providers involved in your tour;
• with your group leader or organiser, where you are travelling as part of their group;
• with service providers who host our website and store our data on our behalf; and
• where we are required to do so by law or by border and travel authorities.

How we protect your information

We take reasonable measures to keep your information secure. Passport images are kept in private storage that is not publicly accessible. Our database records are protected by access controls and are reachable only by our own server — never directly by the public. Uploaded files are checked before they are accepted, and the whole site runs over an encrypted (HTTPS) connection. Any notification email we send about a registration is limited to basic details and never includes your passport number, passport image or medical information.

No website or online service can be guaranteed to be perfectly secure, but we work to protect your information and to limit who can access it.

Where your information is stored

Our website and secure database are hosted with reputable service providers, and some of their servers are located in the United States. By using the site and registering for a tour, you understand that your information may be processed and stored there.

How long we keep it

We keep enquiry and registration information for as long as we need it to arrange and run your tour, and for a reasonable period afterwards for our records and any legal obligations. After that we delete or anonymise it. You can ask us to delete your information sooner, subject to any records we are required to keep.

Your choices

You can ask us to show you the information we hold about you, to correct it, to delete it, or to stop contacting you. Contact us through the form on this website or on WhatsApp and we will respond within a reasonable time.

Cookies & tracking

Our website does not use advertising or tracking cookies, and we do not run third-party analytics or advertising pixels. We use only what is necessary for the site to function. Video previews load from YouTube in privacy-enhanced mode, and only after you choose to play them.

Children

Our website and tours are intended for adults arranging travel. We do not knowingly collect information from children except as part of a family's registration, handled by the responsible adult.
